Coaching Business Builder Systems Checklist - Day 3 : 12 Days of Celebrations 2022

Welcome back to Day 3 of the 12 Days of Celebrations for 2022. As we wind down the year I wanted to share 12 different resources that group and team coaches will find valuable.


Today is one of my favorite areas - building your coaching business, and ensuring you have the necessary systems in place so your business can run for you, rather than you needing to run the business all the time. This is particularly important when you scale your work to many - to groups and teams.

Today's resource is a Coaching Business Systems Checklist. In the Coaching Business Builder Workbook and Planner (which we will be working on in the upcoming Year End Business Planning Virtual Retreats), I like to take stock of systems in 5 core areas of the business. We take a deeper dive into each of these throughout the year at the Coaching Biz Growth Lab (kicking off December 31st):-)

Expanding Your Group and Team Coaching Toolkit - Systems at the Heart of Your Business


Systems are at the heart of any business. The word systems means a lot of different things to different
people. In one of my current writing projects I was curious how many different definitions there are around systems. I took a look over at vocabulary.com who provided these nine different definitions. From systems as a method or set of practices, to working with a system such as an ecosystem.



Over the next few weeks of Monday posts we’ll be looking at systems in several of these ways. First, systems for your business as a group of team coach. Next week, systems in terms of working with the system of a team or group.

Why are systems important for business.

They help us scale and grow

Systems help with replication and ensuring that things are done similarly across a business.

There are several main areas coaches will want to explore for their own business including:


Financial Systems:

o What needs updating?

When coaching many (coaching groups or teams) it’s important to get systems in place before your work expands too much. The number o different clients you work with can warrant a focus on systems early in the process.


When working with groups

When working with groups, especially groups of entrepreneurs, it may be useful to take a look at the five areas of systems listed here. Which ones need attention? Which ones are well established?

Are there best practices which group members have emerged which can help each other?


When working with teams:

When working with teams, business systems can play a key role in ensuring consistency and alignment across the team. Systems play an important role in sharing information, pointing to resourcing required, and ensuring access to key information.

What systems does the team have in place? What’s working? What’s not?


Six Questions:

What systems exist?

What role do systems play in terms of supporting the team or group?

What’s working?

What’s not?

What needs attention?

What best practices can people tap into so they don’t have to reinvent the wheel?

Advanced Group and Team Coaching Practicum (10CCEs): Looking for practice and feedback to gain confidence with your skills as a group or team coach? Join us for the six week practicum where

Facilitator Training for Coaching Business Builder and PlanDoTrack begins July 9th


Save the dates  - July 9, 10, 23, 24, and 30 , 31: Facilitator Training for Coaching Business Builder
and PlanDoTrack

Are you a coach looking to expand your offerings, without having to reinvent the wheel? I'm excited to announce  the inaugural CBB/Plan Do Track Facilitator Training this July. It is grounded in 15 years of coaching and training conversations . The training will be held virtually.

My goal is to bring my latest two books - PlanDoTrack and the Coaching Business Builder into the hands and onto the desks of 20,000 leaders, 20,000 team members and 20,000 entrepreneurs by 2020. I can’t do this alone!

Here’s where you fit in – become a Facilitator for PlanDoTrack (PDT) and the Coaching Business Builder (CBB).

As a CBB and/or PDT Facilitator you can use the material in variety of settings:

You might incorporate it into VIP days with virtual entrepreneurs;

You might work through parts as pre-work in group coaching;

You might host a retreat around it;

You might support individual coaching clients who are remote workers by using it.

You’ll purchase a copy of the book for each of your clients.

To become a CBB or PDT facilitator, Jennifer will be leading a live hands-on facilitator session virtually by zoom this summer. Live, interactive sessions will be held Tuesdays and Wednesdays July 9, 10, 23, 24, and 30 , 31 from 9- 12 noon ET

The facilitator program will include:

  • 6 half day virtual training sessions – Running This July 2019
  • A deep dive into the ins and outs of the resource
  • A supplementary Guide for Navigating the CBB/PDT which includes an additional 110 pages of information on how to lead clients through the resources, and additional exercises to support extended conversations.

Here’s what we cover in the six modules of live virtual training (you need to be able to participate in these live sessions in order to become a facilitator of the work).

As a facilitator you’ll have access to:

  • The GUIDE for Navigating the CBB and PDT
  • A virtual community of other CBB/PDT Facilitators
  • Learning and growth opportunities - there will be ongoing quarterly calls for facilitators
  • A robust resource portal to support your work as a facilitator which includes additional videos and resources

Essential Coaching Questions - Fall and Q 4

Tomorrow, Thursday September 20th, I'm hosting the first of three separate fall business planning virtual retreats. Fall officially arrives on Friday/Saturday, and it's a great opportunity to pause, and take stock of where you are at.

Given the popularity of the past questions series, I thought that it would be useful to share with you a series of questions you can incorporate into your own work with clients, or  your own business, as you step into fall.

Here are some of the questions I have been asking my clients this week:
As you reflect back on the last quarter/summer:

1.  What has worked? What hasn't?
2. What's been your greatest success?
3. What's been your greatest learning?
4. How is your work/business different today, than it was on June 20th?
5. What habits have helped you? hindered you?
6. What relationships have been critical for success?

As you look ahead to the fall (or spring if you are in the Southern Hemisphere) or Q4:
1. What are your top 3-5 priorities?
2. What will "wild success" look like at the end of the year around these priorities?
3. What do you need to say "no to" in order to focus?
4. What resources and partnerships will help you with these priorties?
5. What strengths can you lean into?
6. What blindspots do you want to avoid?
7.  What milestones do you want to plan (and schedule) to check in around your progress?

I hope that these are useful questions for you, and your clients. They can be useful journaling questions, peer partner questions, or incorporated into any quarterly check-in meetings you facilitate.

Coaching Business Builder - Virtual Biz Planning RetreatI'm hosting three separate fall virtual business planning retreats in the next few weeks and am looking forward to them. They are at 3 separate times to try and catch a variety of time zones. Systems Check Questions for Coaching Programs as You Get Back to Fall

today in my monthly Group Coaching newsletter, taking time to do a systems check around your business is key at this time of year.


In my latest publication, The Coaching Business Builder Workbook and Planner, I explore five different areas coaches will want to develop systems around in for their business. Five of the key areas you will want to take stock around this fall are your systems related to:

1. Sales and marketing
2. Product and program services
3. Registration and client onboarding supports
4. Financial systems
5. Communication

In this month's newsletter I zoom into #3 - Registration and Client Onboarding support a little bit more. You can read the newsletter online here.

For this blog post, I thought it would be useful to explore a different area - Product and Program Services, which is more the focus of this blog. As you step into the month of September here are a number of questions for you to consider:

  • What is the current mix of your coaching business? 
  • In addition to individual coaching, what are the different products and services you offer?
  • What is working?
  • What feedback have you received? When did you last review it?
  • What is in development?
  • What do your clients say they want more of? Less of?
  • What's not working as you have planned?
  • What steps are you committed to undertaking, this month? By year end?
  • Who can help you with this?

Product and program development projects often evolve into as much time as we want to give them. As an author I know how wonderful it would be, and how much I'd love to just carve out vast stretches of time to just write. Practically my business and client needs usually come first, requiring me to work around the margins of larger projects for my writing work. I've learned to find a rhythm of making this work for me, and the business, refining it with each project. I've also come to realize that the dynamic tension of practice and reflective writing is an important part of the writing I do.

As a former program manager and developer, and in the last 15 years of my business, the varying steps of the program design process have become more engrained in all aspects - from pre-program tasks, to design, delivery, evaluation and sustainability.

Key here is getting into action, and learning through the action and feedback each step creates. What feedback are you getting from your efforts?

Coaching Biz Growth Lab Launches February 1 at 3 pm ET - Group Coaching for Coaches wanting to grow their business.

What's on your dashboard for your growth and development this year? I'm excited to announce a new program for coaches wanting more focus on their coaching businesses. Some of you may know that one of the first series of group coaching work I launched in my business, way back in 2005, was in the area of small business. For many years I taught business studies part time at the post-secondary level, and I enjoyed leading the 90 Day BizSuccess(TM) programming from 2006 onwards. That's  now a program I license to other coaches.

For the last several years I turned my attention to developing several on-demand business development programs for coaches - The Coaching Business Builder, and the Solopreneur primer, which I bundled last year with the Marketing Your Group and Team Programs, for the 2017 Kickstart.

In recent months, I have had a number of coaches reach out and ask when I'd be forming a new live virtual business coaching group for them. Yearning for a place to take stock of, and more importantly, take ACTION on their coaching business, in a supportive group where they would be create ACCOUNTABILITY in taking REGULAR, CONSISTENT Action on their most important goals.

AND SO.... The Coaching Biz Growth Lab(TM) emerged.


I'll be kicking off the Winter 2018 session in two weeks, on Thursday February 1st from 3 - 4 pm ET on zoom. We'll be meeting on February 1,15, March 1, 15, April 5, 19, May 3, 2018

7 x 1 hour live group coaching calls (you bring the topics you want coaching on some weeks and other weeks we explore themes such as your business ecosystem, competitive advantage)
An afternoon of Getting It Done! (March 8 1-5:30 pm ET)
